Paremmin Yhdessä ry on sitoutunut suojelemaan yksilöiden oikeuksia ja pitämään henkilötietosi turvassa. Tässä rekisteriselosteessa kerrotaan, miten Paremmin Yhdessä ry kerää, käyttää, säilyttää ja suojaa henkilötietoja ja miten sinun tulee toimia, jos huomaat tiedoissasi virheitä tai haluat, että henkilötietosi poisteteaan.

Henkilötietojen käsittelyn tarkoitus

Tietojen keräämisen tarkoituksena on kerätä yhdistyksen toimintaan osallistuvista henkilöistä ne tiedot, jotka kussakin toiminnassa koetaan tarpeelliseksi. Henkilötietoja kerätään tiedotusta, toimintojen ja tilaisuuksien markkinointia ja järjestämistä varten. Tiedoista kootaan tilastoja, joissa yksittäistä henkilöä ei ole mahdollista tunnistaa.

Henkilötiedot, jotka Paremmin Yhdessä ry kerää

Yhdistys saa henkilötiedot suoraan sinulta, kun ilmoittaudut toimintoihimme ja täytät osallistumislomakkeen, liitämme sinut suostumuksellasi Whatsapp-ryhmään, liityt jollekin yhdistyksemme sähköpostilistalle, tilaat uutiskirjeemme tai otat meihin muuten yhteyttä. Yhdistys saa henkilötietoja myös julkisesti saatavilla olevista lähteistä, kuten organisaatioiden tai kuntien internetsivut tai palveluoppaat. Paremmin Yhdessä ry kerää pääasiassa seuraavia tietoja: nimitiedot, sähköpostin, osoitteen, puhelinnumeron, iän, äidinkielen ja sukupuolen. Joihinkin hankkeiden toimintoihin liittyen kerätään tarkempaa tietoa, kuten oleskeluluvan aika, koulutus, työkokemus tai perhetiedot tai henkilötunnus.

Rekisterin suojauksen periaatteet

Paremmin Yhdessä ry:ssä on käytössä ajantasaiset ja asianmukaiset hallintoon liittyvät menettelyt, joilla suojaamme hallussamme olevia tietoja katoamisen, väärinkäytösten, luvattoman käytön, luovuttamisen, muutosten ja tuhoamisen varalta. Yhdistyksen toimintoihin osallistuvien tietoja säilytetään aina käyttäjätunnuksen ja salasanan takana olevissa laitteissa ja ohjelmissa; yhdistyksen työntekijöiden puhelimissa ja tietokoneissa, muistitikuissa, sähköisen uutiskirjeen palvelimella ja Office 365 pilvipalveluissa. Laitteita säilytetään lukituissa tiloissa. Työntekijät käsittelevät vain vastuullaan olevia toimintoja ja niihin osallistuvien henkilöiden tietoja.

Henkilötiedot säilytetään luottamuksellisina. Paperilla olevat tiedot (osallistujalistat, paperiset henkilötietolomakkeet jne.) säilytetään lukkojen takana, jonne on pääsy vain asianmukaisilla henkilöillä. Sähköisen uutiskirjeen tilanneiden rekisteri on valvotussa palvelinkeskuksessa käyttäjätunnuksin suojatulla palvelimella.

Tietojen luovuttaminen / Luovuttaminen EU:n tai ETA:n ulkopuolelle

Tietoja ei luovuteta Paremmin Yhdessä ry:n ulkopuolelle ellei siihen ole merkittävää syytä. Merkittävä syy voi olla jokin tapahtuma tai koulutus, joka järjestetään yhteistyössä sellaisen organisaation kanssa, joka esimerkiksi hoitaa tapahtuman markkinointia. Lähtökohtaisesti tietoja ei luovuteta ja jos niitä luovutetaan, mainitaan siitä erikseen. Sähköpostilistoille lähetettävät viestit lähetetään pääsääntöisesti piilokopioina ellei listan jäsenten kesken ole toisin sovittu.

Oikeus tietojen tarkastamiseen

Yhdistyksen toimintaan osallistuvilla henkilöillä on oikeus saada nähtäväksi hallussamme olevat henkilötietonsa, pyytää korjausta vääriin tai virheellisiin tietoihin sekä pyytää tietojen poistamista. Mikäli haluat kysyä, tarkastaa tai poistaa tietosi yhdistyksen rekistereistä, ota yhteyttä Paremmin Yhdessä ry:n toiminnanjohtajaan. Teemme korjaamis- ja poistopyynnöt viipymättä.

Tietojen säilyttäminen

Säilytämme tietojasi niin kauan kuin niitä tarvitaan siihen toimintaan, jota varten ne on kerätty ja käsitelty tai niin kauan kuin laki ja säädökset edellyttävät. Whatsapp-ryhmiin rekisteröidyn yhteystiedot säilyvät, kunnes henkilö poistuu tai poistetaan ryhmästä. Ryhmän viestit säilyvät niiden henkilöiden päätelaitteilla, jotka ovat olleet ryhmän jäseniä viestien lähettämisen aikana. Sähköpostilistoilta sähköpostiosoite voidaan poistaa, jos sähköpostiosoite ei enää toimi, rekisteröity henkilö pyytää osoitteensa poistamista tai listoja järjestellään uudelleen.

Purpose of personal data processing

The purpose of collecting information is to collect the information about the persons participating in the association’s activities that is deemed necessary in each activity. Personal data is collected for information and for the marketing and organization of activities and events. Statistics are compiled from the data, where it is not possible to identify an individual person.

Personal data collected by Paremmin Yhdessä ry

The association receives personal information directly from you when you sign up for our activities and fill out the participation form, we add you to a Whatsapp group with your consent, you join one of our association’s email lists, you subscribe to our newsletter or otherwise contact us. The association also receives personal data from publicly available sources, such as websites or service manuals of organizations or municipalities. Paremmin Yhdessä ry mainly collects the following information: name, email, address, phone number, age, mother tongue and gender. In connection with some project activities, more detailed information is collected, such as residence permit period, education, work experience or family information or social security number.

Principles of registry protection

Paremmin Yhdessä ry has up-to-date and appropriate administrative procedures in place to protect the information in our possession against loss, misuse, unauthorized use, disclosure, changes, and destruction. The information of those participating in the association’s activities is always stored in the devices and programs that has username and password; on the telephones and computers of the association’s employees, on memory sticks, on the electronic newsletter server and in Office 365 cloud services. The devices are stored in locked rooms. The employees only process the activities for which they are responsible and the information of the persons participating in them.

Personal information is kept confidential. Information on paper (participant lists, personal information forms, etc.) is stored behind locks, to which only appropriate persons have access. The register of subscribers to the electronic newsletter is in a controlled server center on a server protected by user IDs.

Transfer of information / Transfer outside the EU or EEA

Information will not be transferred outside Paremmin Yhdessä ry unless there is a significant reason for it. A significant reason can be an event or training that is organized in cooperation with an organization that, for example, manages the event’s marketing. By default, information is not disclosed, and if it is disclosed, it is mentioned separately. Messages sent to e-mail lists are generally sent as blind copies, unless otherwise agreed between the members of the list.

The right to check the information / data

Persons participating in the association’s activities have the right to see their personal data in our possession, to request the correction of false or incorrect data, and to request the deletion of data. If you want to ask, check or delete your information from the association’s registers, contact the executive director of Paremmin Yhdessä ry. We process correction and removal requests without delay.

Data Retention

We keep your data as long as it is necessary for the activity for which it was collected and processed or as long as required by law and regulations. The contact information of a person registered in Whatsapp groups will remain until the person leaves or is removed from the group. The group’s messages are saved on the devices of the people who were members of the group at the time the messages were sent. An email address can be removed from email lists if the email address no longer works, the registered person requests to have their address removed, or the lists are rearranged.
